Privacy Policy

This Privacy Policy explains how Memos Mobile (the App) accesses, uses, stores, and shares information. Memos Mobile is an independent mobile client for self-hosted Memos instances. It is not affiliated with or endorsed by the Memos project.

1. Who is responsible for your data

Memos Mobile connects directly to the Memos server address that you provide. The App publisher, identified in the app store listing, is responsible for the App, its local storage, support communications, and any advertising configured in it. Your Memos instance operator is responsible for the account and content stored on that server. The operator may be you, your employer, an organization, or another hosting provider.

The App publisher does not operate an additional backend that stores your memos.

2. Information handled by the App

Depending on the features you use, the App may handle:

  • The URL and display name of your Memos instance.
  • Your username, password, access token, session tokens, or SSO authentication response.
  • Profile information returned by your instance, such as username, display name, description, email address, and avatar.
  • Memo content, tags, task lists, links, comments, reactions, notifications, shortcuts, sharing settings, and visibility settings.
  • Files, photos, videos, and audio recordings that you choose to attach.
  • A place name and device location that you choose to attach to a memo.
  • Local preferences such as language, theme, accent color, and memo view.
  • Messages and contact details that you voluntarily send when requesting support.

3. How information is used

The App uses this information only as needed to:

  • Connect to and authenticate with your selected Memos instance.
  • Display, create, edit, organize, share, and delete content on that instance.
  • Upload attachments or audio that you explicitly select or record.
  • Attach a location to a memo and display location-based memos on a map.
  • Remember your session and appearance preferences.
  • Respond to support or privacy inquiries.
  • Display, measure, and protect advertising when Google AdMob is enabled.

4. Device permissions

  • Microphone: used when you choose to record an audio attachment. The recording is created on your device and uploaded to your Memos instance when you add it to a memo.
  • Location: used when you choose to attach your current location to a memo. The selected coordinates and place label are sent to your Memos instance as part of that memo.
  • Photos and files: used when you choose content to attach or an avatar to upload. The App does not scan your library in the background.

You can deny or revoke these permissions in your device settings. The related optional feature will then be unavailable.

5. Your self-hosted Memos instance

Content requested or submitted through the App is sent directly to the instance you configured. Its operator determines the hosting location, logs, retention periods, backups, security controls, and access policies.

Private content is subject to your instance's access controls. Protected or shared content may be visible to other authorized users. Public memos, profiles, and share links may be accessible without authentication. Review your instance's privacy policy and configuration before entering sensitive information.

6. Local storage and security

The App stores instance configuration, credentials, and tokens using operating-system secure storage, such as Android Keystore or Apple Keychain. Language, theme, accent color, and view preferences are also stored locally.

Signing out removes saved instances, credentials, and authentication tokens from the App. Some non-account preferences may remain until you clear the App's storage or uninstall it, subject to platform behavior.

Network security depends on your instance. Use an HTTPS-enabled instance. Connections to an HTTP server are not protected by TLS. No storage or transmission method is completely secure.

7. OpenStreetMap

When you open a map, the App requests map tiles from OpenStreetMap servers. OpenStreetMap may receive technical data such as your IP address, device or application information, request time, and requested map tiles. Requested tiles can indicate the general area being viewed. 8. Advertising and Google AdMob

If advertising is not enabled in your installed version, the AdMob processing described in this section does not occur.

Some versions of the App may display advertising provided by Google AdMob. When AdMob is enabled, the Google Mobile Ads SDK may automatically collect and share:

  • IP address, which may be used to estimate general location.
  • App interactions, including app launches, taps, and ad or video views.
  • Diagnostic information, including performance and crash-related data.
  • Device and account identifiers, including the Android advertising ID and app set ID where available.

Google and its advertising partners may use this information for ad delivery, measurement, analytics, fraud prevention, security, and, where permitted, personalization. The App does not send your Memos password, access token, memo text, or attachments to AdMob for advertising.

Where required in the EEA, United Kingdom, and Switzerland, the App will request advertising consent through a consent management platform before using data for personalized advertising or local storage. Depending on your choice and regional availability, ads may be personalized, non-personalized, or limited. Certain data, such as an IP address, may still be processed to deliver limited ads and prevent fraud.

9. Sharing with third parties

Information may be transmitted to:

  • Your chosen Memos instance and its operator.
  • OpenStreetMap when displaying maps.
  • Google and selected advertising technology providers when AdMob is enabled.
  • Device and operating-system services that you invoke, such as the file picker, location provider, browser, or share sheet.
  • Authorities or other parties when required by law or necessary to protect users, rights, and security.

The App publisher does not sell your Memos content, credentials, or attachments.

10. Retention and deletion

  • On the device: credentials and tokens remain until you sign out or clear the App's storage. Temporary recordings and upload files are removed when no longer needed where the platform permits. Downloaded files may remain until you delete them.
  • On your Memos instance: retention and backups are controlled by its operator. Deleting a memo or account sends that request to your instance, but backups or logs may have a separate schedule.
  • Advertising data: Google and advertising partners retain data under their policies and legal obligations.
  • Support messages: the App publisher may retain them only as long as reasonably necessary to respond, keep records, or meet legal obligations.

To delete your account in the App, open Settings → Account → Delete account. To request deletion outside the App, use your Memos instance's web interface or contact its administrator. Only the instance operator can confirm deletion from server logs and backups.

11. Your choices and rights

Depending on where you live, you may have rights to access, correct, delete, restrict, or object to processing of personal data, or to withdraw consent.

  • For memo content, account information, and instance logs, contact the instance operator.
  • For advertising data, use the App's consent options when available, device advertising settings, and Google's privacy controls.
  • For local data, sign out, clear the App's storage, or remove permissions in device settings.
  • For support data or this policy, use the developer contact method on the Memos Mobile app store listing.

12. Children

Memos Mobile is not directed to children under 13 or the minimum age required by local law. The App publisher does not knowingly collect children's personal information. Instance operators are responsible for deciding whether their service is appropriate for minors.

13. International processing

Your instance operator, OpenStreetMap, Google, and advertising partners may process information in countries other than your own. Their respective policies describe the safeguards they apply.

14. Changes to this policy

This policy may be updated when the App's features, third-party services, or legal requirements change. The updated date above will be revised, and material changes may also be communicated in the App or store listing.

15. Contact

For privacy questions concerning the App publisher, use the support email or developer contact method displayed on the Memos Mobile Google Play listing. For data stored on your Memos server, contact that instance's operator or administrator.
